Administrative Assistant, Foundations of the Union League @ UnionLeague


Position: Entry-Level Administrative Assistant, Foundations of the Union League, Full-time

The Administrative Assistant assists and supports the work of the Foundations, by managing calendars, scheduling and communicating with the Board and Comittees, and provide administrative support for the programs of the Foundations.  This position enables the team around them to work more effectively and efficiently.  This position will work closely with the staff of the Foundations office.  This is a full-time position that reports to the Director of Development and Administration.


The Foundations of the Union League (Abraham Lincoln, Scholarship and Youth Work) are three non-profit charitable organizations affiliated with The Union League of Philadelphia. These charities provide programs for scholars, students and the general public and provide college scholarship opportunities to outstanding young citizens.  The Foundations’ missions include the stewardship of one of the great Civil War collections in the United States, and the promotion and use of this collection as a research tool for the study of Philadelphia and the Civil War.  The Foundations’ offices are located in the Sir John Templeton Heritage Center, a research, exhibit and programming space located within the historic Union League building in Center City Philadelphia.


Administrative Assistant

Coordinate and communicate with Board, Committee and others for meetings/events

Manage and update all calendars, both for the Foundations team and externally

Assist with tours – coordinate, schedule, track, etc.

Provide administrative support for all Foundations programs

Help with Good Citizenship Award nomination process.

Assist with scholarship application process, including prep materials for interviews.

Attend and assist as needed at programs, fundraising events, and other events.

Collaborate with Foundations’ staff to maximize impact of all programs/initiatives.

Assist with other administrative functions as needed.


The ideal candidate for this position will possess very high attention to detail and follow through, good communication skills and the ability to multi-task.  In a fast paced environment, candidates should be able to exhibit good judgment under pressure.  A collaborative nature is highly important.  Candidates should be able to interact effectively with all level of Foundations and Union League staff, Union League members, Trustees, the general public and others.



Bachelors preferred.

Microsoft Suite experience required.
